Zero Invasive Predators (ZIP) is on a mission to transform Aotearoa/New Zealand’s wild places by removing pest animals and we are well-positioned to do so, building on our established reputation as predator free ‘doers’.

Te Tūranga/The Position:

The purpose of this role is to provide professional administrative and logistical support to ZIP’s Senior Leadership team members while also assisting the wider ZIP teams. This role supports calendar/inbox management, travel coordination, confidential administration support and day-to-day office support. By anticipating needs and solving problems independently, this role is critical to increasing the overall efficiency and capability of the ZIP team, enabling leadership to focus on strategic priorities.

Most of the work will be office-based however, some travelling will be required to support the leadership teams on the road and there will be opportunities to work from our field sites to get grounded in the work and connect with the team.

Due to the nature of the role and flexibility we require of our teams to successfully complete our projects, the ability to be flexible with working hours outside of the usual “9-5” where needed, and being comfortable with a changing and flexible working environment is essential to this role.

Ngā Mahi me Ngā Kawenga/Tasks & Responsibilities:

  • Provide administrative support to the ZIP Leadership Team (ZLT), including managing complex schedules, and competing priorities, inboxes (drafting/responding), processing receipts and invoices, and handling sensitive and confidential information.

  • Coordinate all travel, accommodation, site visits, and general logistical details for all ZIP staff.

  • Travel to other work locations as required to connect with team members and support ZLT during travel.

  • Support ZLT meeting support and planning, including the preparation of agendas and materials, ensuring teams have necessary items, and taking meeting minutes.

  • Support general office operations, including maintaining stock levels (supplies, kitchen goods, equipment), handling mail, and managing relationships with office vendors and suppliers, and contributing to team culture.

  • Plan and coordinate internal office functions, team social events, and support the preparation of new employee workstations.

  • Support ZIP teams with other tasks that are suited to your unique personal knowledge and skills.

Ngā Pūkenga me te Wheako/Skills and Experience:

  • 2 -3 years’ experience as a Personal Assistant or a similar position.

  • A professional, friendly, clear and timely communicator in person, phone and email.

  • Remain firm and confident, with ability to make decisions and be autonomous while keeping the ZLT members on track.

  • Ability to foster effective working relationships, both internally and externally, including with other personal/executive assistants.

  • A willingness to learn and grow in your position to undertake a wide range of tasks to increase capability and support the needs of the business.
